Terms of service
Last updated October 20, 2026. The rules for using the Site and buying the 60‑Second Lead Engine, including payments through Stripe.
1. Agreement
These Terms govern your use of replyfirstmedia.com (the "Site") and the services offered by Reply First ("Reply First", "we", "us"). By using the Site or buying from us, you agree to these Terms. If you sign a separate service agreement with us, that agreement controls where it differs from these Terms.
2. What we sell
Plans (monthly). Reply First installs and runs the 60‑Second Lead Engine: it replies to inquiries from your website form from your own email, logs each one to a Google Sheet you own, and sends you an email alert. Reply + Rank also scores each lead and alerts you only to hot ones. Each plan includes setup, a daily test of your form and a monthly report. What each plan includes is shown on the Pricing page when you buy.
Add‑ons (one‑time). You can add any of these at checkout: a lead form for your trade, built and set up on your site; a Google Business Profile Setup; and a Lead‑Ready Website. Section 5 sets out what each one includes.
3. Fees and payment
- Prices are shown on the Site. You pay the price shown at checkout.
- There is no setup fee for a plan. The monthly fee is billed in advance, starting when you sign up, and each month after that until you cancel.
- One‑time add‑ons are charged once, at checkout, together with your first month. A custom form is quoted on your setup call and charged only after you approve the quote in writing.
- Payments are processed by Stripe. By paying, you also agree to Stripe's terms for the payment, and you authorize us to charge your saved payment method each month until you cancel.
- Prices do not include sales tax. Where tax applies, it is added at checkout.
- If a payment fails, we will let you know. If it is not resolved within 14 days, we may pause the service until it is.
- We may change plan prices with at least 30 days' notice by email. A new price applies from your next billing date after the notice period.
4. Setup and timing
- After you pay, you send your setup details and we book a 20‑minute call. Most plans are live within 3 to 5 business days after we have your setup details and the access we need.
- Before anything goes live, you approve the reply wording in writing. We run test leads through your form and check each reply before we switch it on.
- Timelines start when we have what we need from you. Delays in access, approvals or content move them by the same amount.
5. One‑time add‑ons
Lead form
We build a two‑step quote form for your trade in your brand colours and set it up on your website. It asks how urgent the job is, the best time to call and the address, and it is connected to your plan. It includes one round of changes before go‑live. Delivery is within your plan's setup timeline. If your website platform does not allow the form to be added, we will tell you on the setup call and refund the form in full.
Google Business Profile Setup
We claim and verify your Google Business Profile, or create one if you don't have it, and complete it: categories, services, service area, hours, a description, photos you give us, your website and quote form link, a review link and a printed QR card for your jobs, and reply wording for reviews. We do the work within 5 business days after the setup call and the access and photos we need.
Google decides whether and when a profile is verified and where it appears. Verification can take several days and may require a short video or other proof from you. We do not guarantee verification, approval, search position or the number of calls or reviews. No one can pay Google for a higher ranking.
Lead‑Ready Website
We design and build a custom, fully responsive website of up to 25 pages, with your lead form on every page. You give us your logo, photos and the details of your services and the towns you cover, or we write the text from your setup call for you to approve. It includes two rounds of changes. We deliver a first version within 15 business days after we have your content, and the final site after your approval.
We publish the finished site to the domain and web account you provide, or hand the files over to you. Your domain name and the account the site is published on are yours to keep and pay for.
Refunds for add‑ons
- If we have not started work on an add‑on, you can cancel it for a full refund.
- Once work has started, an add‑on is not refundable, except that if we cannot deliver it for a reason within our control, we refund it in full.
- Add‑ons are separate from your plan. Cancelling your plan does not refund an add‑on, and you keep any add‑on that has been delivered.
6. Cancellation and refunds for plans
- Your plan renews automatically each month until you cancel. You can cancel anytime: reply to any of our emails or send a message through the contact form, and we will confirm the date your service ends.
- Cancellation takes effect at the end of the month you have already paid for. That month is not refunded or prorated, and you are not charged again.
- Your first month's payment covers setup work that starts right away, so it is not refunded.
- When the service ends, we switch off the automations we run for you. Your Google Sheet, your data and any add‑ons we delivered stay with you.
7. Your responsibilities
- Give us the access we need to your website form, email sending domain, Google account and related tools, and keep it working.
- Approve the reply wording before go‑live and keep your business details accurate.
- Make sure you are allowed to use the photos, logos and text you give us.
- Call your leads back. The engine answers and organizes leads; following up is up to you.
- Use the service lawfully, only for your own business, and only to reply to people who contacted you.
8. Alerts and emergencies
Alerts are sent by email and depend on email providers and your phone, which can delay them. Quiet hours hold alerts overnight, except for requests your customer marks as an emergency on one of our forms. The service is not an emergency dispatch or answering service, and you should not rely on it as one.
9. No guaranteed results
The service makes sure inquiries are answered quickly and that you know which ones to call. It does not create leads, and we do not guarantee any number of leads, bookings, calls, reviews, search rankings, sales or revenue. Results depend on your market, your pricing and how quickly you follow up.
10. Third‑party services
The service runs on third‑party tools, including Stripe, Google, Vercel, Supabase, Resend and Anthropic. Their availability, pricing and terms are outside our control, and an outage on their side can affect the service. We will tell you about problems we see and work to fix them, but we are not responsible for third‑party failures.
11. Ownership
- You own your data, your Google Sheet, your Google Business Profile and your domain.
- Once an add‑on is paid for, you own the lead form, website design and website content we made for you. We keep the right to reuse our general templates, code and know‑how, and to show your site as an example of our work unless you ask us not to.
- We own the systems, templates, code and know‑how behind the 60‑Second Lead Engine. You may use what we install for the service while you are a client.
12. Disclaimers
Except as stated in these Terms, the Site and service are provided "as is" and "as available", without warranties of any kind, to the fullest extent the law allows.
13. Limitation of liability
To the fullest extent the law allows, Reply First is not liable for indirect, incidental, special or consequential damages, or for lost profits or lost business. Our total liability for any claim is limited to the fees you paid us in the three months before the claim, or for a claim about an add‑on, the price of that add‑on.
14. Governing law
These Terms are governed by the laws of the state where Reply First is registered. Before going to court, both sides agree to try to resolve a dispute by talking it through for 30 days. Disputes that are not resolved will be decided in the courts of that state.
15. Changes
We may update these Terms. We will change the date at the top and email clients about significant changes. Continued use after a change means you accept it. Changes to fees follow section 3.
